Universities and educators
What is WardLab?
A simulated electronic patient record (EPR) for nursing education. Students document care for fictional patients in software modelled on the EPRs they meet on placement: observations with live NEWS2 and PEWS scoring, an eMAR, fluid balance, notes, referrals and SBAR. Every action is timestamped into a report you debrief from.
Is any real patient data involved?
No. Every patient in WardLab is fictional, and it stores no real patient data. No real clinical decision should ever be based on it.
What do students need?
A phone, tablet or computer with a web browser, and their university email. There is nothing to install, no computer lab to book and no accounts to hand out.
How does a teaching session work?
You pick a scenario and put the join code or QR code on the projector. Students join on their own phones and are in the session in under a minute. When it ends, every student's documentation is there as a report for the debrief.
Does it come with ready-made scenarios?
Yes. Ready-to-run presets cover adult wards, a children's ward, children's A&E and a mental health unit, each fully populated with patients, histories, drug charts and blood results. A one-click reset clears the board between sessions.
Can we add our own patients?
Yes. Teaching staff can build their own patients and keep them in a shared Patient Bank, ready to bring into any session.
Does it cover children's nursing?
Yes. Children are scored on age-banded PEWS and adults on NEWS2, both calculated live from the observations students enter.
How is WardLab priced?
Per student. You license the students on the modules that use WardLab, and each one gets unlimited sessions, scenarios and resits. Prices are quoted individually for each department. Request a quote.
Can we try it before we buy?
Yes. Ask for a demo and you'll get a private link to the complete product (every ward, every patient, every scenario) that stays live for 24 hours. There is nothing to install and no sales call. Request a demo.
Will you help with our procurement paperwork?
Yes. A data processing agreement, a data protection pack to support your DPIA, an incident response plan and the accessibility statement are all available. Ask for them through the enquiry form or at info@wardlab.co.uk.
Data, privacy and security
What student data does WardLab hold?
A name and a university email, plus the documentation students write during sessions. Nothing else. The full detail is in the privacy notice.
Where is the data stored?
In the UK or the EU, encrypted in transit and at rest.
How long is it kept?
Session reports are deleted automatically 30 days after the session ends. Students can download their own copy for their portfolio before then.
Is our data used to train AI?
No. Your data is never used for WardLab's own purposes, and that includes training AI models. The clinical content itself is authored by clinicians, not generated.
Is WardLab accessible?
It is built to WCAG 2.2 level AA, and an automated conformance suite checks it on every release. The details, including what has not yet been tested, are in the accessibility statement.
What happens if WardLab goes down?
Check the live service status page. It is hosted separately, so it still works when WardLab doesn't. Inside the app, the same link appears next to any "cannot reach" message, so a class can tell a Wi-Fi problem from an outage.
Students
My sign-in code hasn't arrived
Check your Junk or Quarantine folder, wait a few minutes, then ask for a new code. If it still doesn't come, contact your module leader.
It says my email isn't covered by a licence
Sign in with your university email rather than a personal one. If it still says that, ask your school's WardLab admin, usually the module leader, to add you.
Can other students see what I document?
In a live session, yes. Everyone works on the same shared ward, just like a real one, and your facilitator sees everyone's documentation for the debrief. A Practice run is your own private ward: nothing in it is shared or recorded.
Can I keep my work?
Yes. Download your report for your portfolio. Session reports are deleted 30 days after the session ends, so do it before then.
Something isn't working
In WardLab, open Help → Found a bug?. It prepares a short report with the technical details needed to fix it, which you can email or copy and paste. If the app won't load at all, check the service status page.
